Two short texts do a lot of work for a service business: a reminder before the appointment and a review request after the job. The reminder helps cut no-shows, and the request is how you collect reviews, because most happy customers will not write one unless you ask. Here is how to send both without making it a chore.
Why do customers miss appointments?
Usually they forgot. A booking made a week ago, a busy morning, a kid with a fever, a car that will not start. Few people mean to leave you waiting in the driveway.
In Arizona, there is also the heat. If a tech drives across the Valley in July and finds nobody home, you lose the job, the drive and the fuel. A reminder protects your day.
What should a reminder say?
Keep it short and put the facts first.
- Your business name
- The day and time
- The address, if you are going to their place
- How to confirm or change it
For example: "Hi Maria, this is Sunrise Plumbing. We are set for your visit tomorrow between 9 and 11. Reply C to confirm or call us to change it." (That example is made up, to show the shape.)
Send one the day before and, if your trade runs on a tight schedule, another in the morning. Do not send more than that.
When should you ask for a review?
Ask soon after a job goes well, when the customer feels good and the work is fresh in their mind. A text the same day or the next morning works better than one a month later.
Make it easy. One link, one sentence. For example: "Thanks for choosing us today. If you were happy with the work, would you leave a short Google review? Here is the link." Do not offer money or gifts for a review, and do not ask only the happy ones. Check Google’s own rules on reviews before you set up any process.
If a customer was not happy, call them first. Fixing it quietly beats a bad review.
Should you answer reviews?
Yes. Thank people by name and mention the job. If a review is bad, stay calm and offer a call. Read our Google Business Profile tune-up for more on this.
How do you keep this from taking over your day?
Pick a time each day, such as the end of your last job, and send your review requests then. For reminders, set a routine the evening before.
You can also automate it. Jetsy is small-business software with a CRM and scheduling that sends automatic appointment reminders and review requests, built for home-service companies, auto shops and restaurants. Plans start at $25 a month. If you use any tool for this, send yourself a test text first so you know what customers will see.
Your directory listing matters here too. Make sure the phone number and hours on AZ Business Directory are right, so reminder replies reach you.
How do you know it is working?
Track two numbers for a month. Count the appointments you booked and how many were no-shows, then do the same after you start sending reminders. Count the new reviews you got each month. Use your own numbers, not anyone else’s.
Questions people ask
How far ahead should I send an appointment reminder?
Most businesses send one the day before. If your day runs on a tight schedule, add a second text the morning of. Do not send more than two.
Is it okay to ask customers for Google reviews?
Yes. Asking is normal. Check Google’s rules so you follow them, and never pay for or fake reviews.
What if a customer replies to a reminder to cancel?
Thank them and offer another time right away. A moved appointment is a better result than an empty one.
